Walkthrough of creating receiving, then completing a Job with the Field Complete mobile app. Mobile app can be downloaded for Free

Step 1: Access assigned Job

Once a Job is assigned, it will be available for the assignee:

  • On daily calendar

  • Mobile push notification

  • List of notifications within Mobile App

Step 2: Job Details

Access the Job to allow access to Job Details, including:

  • Address and contact information for service location

  • Job description, assignee, and date of service

  • Job status, and ability to update with technician notes, job scope, e-signature, and billing information

Step 3: Update Job Status

As you start to head towards the assigned Job, update status to "On the way".

Update to status will trigger:

  • Customer/Service Location notification (optional)

  • Job status is updated in real time across company account

Once onsite, update Job status to "In Progress", to notify main office.

Based on progress of Job, status can be updated based on the outcome:

  • Parts Run

  • On Hold

  • Cancelled

  • Completed

Step 4: Update Job Scope

Line items can be added prior to assigning a job, but a field technician can also generate the scope onsite.


Click on “SCOPE” to access Job scope details, which includes:

  • Line items title and description

  • Line item cost

  • Images and files

Click on the "+" at the top right to create a new line item.

The Job scope can be updated:

  • Prior to Job being assigned

  • While Status is not "Completed" or "Cancelled"

  • While restrictions are not set preventing changes without management approval

Step 5: Back office Communication

At any stage in the Job workflow, information and communication are streamlined to improve the customer experience.

Note, communication is not customer facing and would never be displayed on estimates or invoices.

Communication:

  • Messenger

    • includes Job manager, but additional users can be included

  • Tasks

    • ability to generate checklist to track progress

  • Technician Notes

Step 6: Add Files and Images

Files and images can be added without needing them to be filed under a line item. Go to “ADDITIONAL IMAGES” and click on the “+” to add all of the before and after images and any images related to the job.

Step 7: E-signature

If a signature is required for the job, click on the “SIGNATURE” tab and collect the customer signature and hit submit.

Note: The signature will reflect on Invoices and Estimates of the job.

Step 8: Create Invoice

Click on billing within Job details, which reflects Job scope details.

At this stage, an existing invoice would be visible, or a new invoice can be created by clicking on "Invoice" at the top right corner.

Creating an involves involves verification of:

  • Terms of Payment

  • Invoice ID

  • Invoice Date

  • Included Line items

Step 9: Send Invoice

As an invoice is created, the first option includes the ability to send invoice via SMS or e-mail.

Once you click on send, options will be available to edit body of e-mail, subject, and sending e-mail address.

Note: A copy of e-mail can also be sent

Step 10: Add Payment

A created invoice will allow the option to log a payment. A receipt can then be sent to customer once payment is logged.

Note:

  • All payments are attached to an invoice

  • Receipts can be re-sent as needed

  • Partial payments are available

The Field Complete app functions as a payment processing portal. Credit card information can be entered manually, or processed via "tap and pay".

Step 11: Complete

Upon collection of payment, the workflow of the job is typically complete. At this stage, it is important to update the Job status to "Complete".
